Linear Title & Closing, Ltd was founded in 2005 by President and CEO, Nick Liuzza. Linear began as a regional title company based in Newport RI. In six years Linear has grown to over 200 employees worldwide with a national footprint.

Linear offers a wide array of services including closing, REO, title insurance and settlement services. The company prides itself in having the power to “pursue more loans and close faster.” Liuzza and his team attribute a significant part of their ability to perform and excel in the industry to the flexibility, scalability and efficiency that it achieves using ResWare.

Fast Growth, Increasing Need

As a rapidly growing title and closing company, Linear needed a product that could expand with it and didn’t require a great deal of time devoted to training and integration. The company was growing and moving fast, so its software had to scale as well. Linear is a technically savvy company, so inflexible software that didn’t offer integrations, regular upgrades and that couldn’t keep up with the demands of clients was not an option.

Liuzza and CTO Jessica Digilio understood early on that to succeed he would need the right tools to achieve rapid growth. The company tried several products which were found to be archaic and slow. Liuzza and his team needed a system that housed the ability to scale and was easy to customize to their business model; one that could be customized around each new client and the client’s process.
After a thorough review, they finally found what they needed in ResWare.

“Our growth and expansion would not have been possible without ResWare,” said Liuzza. “As we have grown, we continually push this software to great lengths. It easily scales to the size of our company and is able to accommodate complicated integrations with our clients.”

Unable to Find the Limits of ResWare

When Linear first began using ResWare, the company was told that it would have a difficult time finding the limits of ResWare and would have the power of customization always in its control.

“When we need to implement a new request for a client or create a solution to an internal challenge, the tools within ResWare provide us with the ability to create a scalable process. Using technology to eliminate redundant, manual steps and reduce labor costs through increased automation allows Linear to stay a step ahead,” said Jessica Digilio, CTO of Linear Title & Closing, Ltd.

Last year, after working with ResWare for two years, the company took the software and the claim that finding the limits would be difficult and began exploring and expanding within the capabilities of the software. To date, Linear still hasn’t been able to reach the bottom of ResWare’s efficiency, scalability and customizability.

Because of the customizability with ResWare, Linear was able to create a groundbreaking innovation called “Change of Circumstance.” This allows a lender to make a change to a file and have it automatically change throughout the system. The result is automatically updated fees and automated notifications with documentation to every partner involved with the file.

Before the innovation of “Change of Circumstance,” agents would have to make a change on a document and either email or call several different people in order to ensure that the change had been made on all fronts. This would take anywhere from 24 hours to as much as 3 to 4 days, and there was always the risk of missing the change in one of the many places it needed to be updated. With “Change of Circumstance” this process is automatic, takes only about 20 seconds, and makes sure every instance is accurately updated.

In addition to “Change of Circumstance,” Linear utilizes ResWare integrations. One example is “Notes and Documents,” which ensures that notes and documents are seamlessly and automatically transmitted between parties, and enables tasks to be automatically started based on documents received. This is all automated, requiring no human intervention, which frees up even more time for employees to concentrate on their primary job functions.

“Being able to utilize integrations where one action automatically triggers the next action is key. This significantly reduces our labor costs,” said Liuzza. “These efficiencies are global and span our client base. With ResWare, we have the ability implement workflow specifically to our clients’ needs.”

Achieving Monetary Results with ResWare

Any IT purchase should save time or reduce costs — ideally a good purchase will achieve both. The bottom-line goal for Linear when choosing ResWare was to close more files without adding headcount. After three years with ResWare, they are able to show the following specific results:

Linear’s cost per file decreased by 83 percent.

Linear can effectively and efficiently close 5,000 to 8,000 files in one month with only 200 employees.

Prior to ResWare, busy departments within Linear needed to stay in the office working until midnight to finish tasks. After ResWare was in place, for only 60 days, the same number of employees closing the same number of files were finished by 5 p.m.

“From the beginning, we didn’t want to be a traditional title processor, but a business process unit,” said Todd E.A. Costa, chief financial officer of Linear. “We wanted to drive business and increase efficiency. ResWare gives us the ability to grow at an astronomical rate and record positive financial results.”

National Title Network was formed in 2009. In addition to processing 1,700 VA refinance requests through its main office, NTN has evolved into a unique competitor in the field: it is also the back-office title processor for three sister companies that focus on standard titles, broker-facing work and more. Staffing and growing their offices quickly, NTN needed a solution that would let them flexibly and seamlessly serve four separate companies.

Start-up CIO needs tools to drive his team’s success…fast

As one of the first hires for NTN during its 2009 launch, CIO Kevin Mazur selected a pay-as-you-go, hosted provider that fit within the new company’s budget needs. As business grew, Mazur required a different kind of flexibility: the power to customize for NTN?s business process and unique corporate structure. The old, hosted solution was running on software that hadn?t been significantly improved in several years, and it simply didn’t provide the flexibility this new business model demanded. Within months of Mazur joining NTN, organizational head count has more than tripled. Mazur was easily able to stream new hires into the workflow using ResWare.

As a ResWare shop, Mazur and his team also get the benefit of constant innovation without even requesting it. Any improvements or new features requested by a client and implemented in the software are also offered to all Resware clients without being sold as upgrades.

“I don?t know that I?ve ever had a complaint,” says Mazur. “They?re exceptional, and I have very high expectations of service from vendors. They?ve been critical to our development and growth.”

“What took three positions in the past now takes one. Any additional workload from our sister companies can easily be absorbed by our back office without the need for additional hires in the separate front offices. Title Software Company Introduces ResWare-to-ResWare at DS Servicing Conference

To coincide with their presence at The Five Star Conference, Adeptive Software announced today additional features in ResWare for web service communications, allowing clients to communicate both between ResWare installations and third parties.

“Our new web services allow for communication between our various clients as well as 3rd party vendors in a way that has never been done before,” said Bryan Buus, president of Adeptive Software. “It eliminates the need for many phone calls, emails or navigating through websites—all interruptions to a professional’s workflow that can negatively impact productivity.”

The new communication integration is added seamlessly to the ResWare workflow and enhances the paperless environments for ResWare users. This allows one ResWare customer to place orders with another ResWare customer as well as send notes and documents between them, either manually or automatically through Action Items™ in the workflow.

Case Study: NETCO

NETCO began in 1987 as Equity Title Company of Illinois and is now headquartered in St. Louis, Missouri, with a presence in all 50 states. Even while processing thousands monthly orders nationwide, NETCO still prides itself on a high level of customer service and flexibility to meet the unique closing needs of each customer.

Volume outstrips technology; NETCO turns to ResWare

In 2000 NETCO was operating in 15 states and processing orders on a proprietary system developed in-house. As volume grew through the 2000s, NETCO began to bump up against the limits of their system?s speed, user friendliness, and storage capacity, creating lag time in processing and hampering productivity. Additionally, staff had to send emails to pass off files. This created room for error and inefficiency when staff had to search for and identify their files. It was time for a change.

Kathy Kling brings more than 20 years of industry experience to Colorado-based real estate software company

Canyon Title was formed in 2001, and currently focuses on serving the Colorado market, processing approximately 500 title orders each month. Canyon Title was acquired by sales, marketing and business management professional Robert Lindley, whose focus on team, process and people has made him an ambassador of the new title industry.

Losing time and productivity to the file shuffle

When Lindley acquired Canyon Title Company in 2006, the first thing he did was watch his employees. In two months of observation he noticed that staff would spend 20-30 percent of their time looking for, recreating and merging paper files. Turnaround time was running two days or more, with outsourcing. Thanks to his background with large corporate title agencies, Lindley knew big gains in service and efficiency would follow simply by improving productivity. Lindley set to work creating a methodology for evaluating software vendors that would help him manage workflow. ADEPTIVE SOFTWARE RELEASES RESWARE 5.0

Industry’s most effective real estate transaction management system continues innovation through enhanced workflow automation, trust and escrow accounting and customer file organization

Boulder, Colo. — Nov. 10, 2009 — Adeptive Software today announced the release of ResWare version 5.0, the industry’s most effective real estate title production system.

Like earlier versions, ResWare 5.0 can provide efficiency increases of up to 30 percent to title underwriters, title agents, vendor management companies, relocation and real estate services companies, and bundled service providers.

New features of ResWare Version 5.0 include:

  • A visual Action Items™ process flow has been added, allowing an administrator to view an entire action list in a single user interface, including action affects and triggers. This allows the administrator to easily visualize and verify their workflow.
  • The new 2010 HUD has been incorporated, allowing the user to switch back and forth between the two versions of the HUD and easily navigate both the HUD and the GFE.
  • Default wiring instructions can be recorded and auto-populated on a per-partner basis.
    Reconciliation reports and usability have been improved, and accountants can create combined wires (a single wire that combines multiple transactions together).
  • Partners can be automatically added to a file based on the existence of another partner. For example, a specific lender can always be added for a given client.
  • Administrators can create custom fields and conditional fields for use in document templates, making document creation even more automated and efficient.
